EVENT QUESTIONS
HOW ARE SERVICE TEAMS SLOTTED?
We have 80 driver slots available to divide among the 8 uniformed Service teams.
We have established the following teams:
-
Army [Hooah!]
-
Navy
-
Air Force
-
Marine Corps
-
Coast Guard
-
Space Force
-
Public Health Service Commissioned Corps
-
National Oceanic and Atmospheric Administration Officer Corps
Slots not filled by veterans/active duty personnel from a particular Service will be made available to the remaining Service teams.
In 2021, we only had drivers from the “Big Four,” Army, Navy, Air Force, and Marines. If your Service team is filled (10 drivers already registered) we will put you on a wait list and give you 3 weeks notice that a slot has opened for you.
HOW WILL SERVICE TEAMS BE FORMED?
We will divide all entries into two heats of 35-40 cars each based on class and driver experience.
Each heat will run once in the morning and once in the afternoon with a lunch break in between.
Each heat averages about 90-120 minutes long.
Depending on the number of entries and weather and track conditions, you can expect a total of 8 – 10 runs during the day.
We will use a section of the Jefferson Circuit for both the morning and afternoon sessions.
The afternoon session will be run in the reverse section.
HOW WILL THE WINNING TEAM BE SELECTED?
Points will be awarded for 1st through 10th places in each class in which there is at least one (1) car. Additional points will be awarded for every $100.00 raised.
Class Champion
A Class Champion trophy will be awarded based solely on driving times. Points will be totaled for each Class and the Service team with the most points in each class will be the Class champion.
Overall Champion
The overall event champion will be determined by the overall number of points across all classes with the addition of one point for every $100.00 raised.
So, it’s theoretically possible for a Service team to win every class and lose the overall championship to a team that’s great at fundraising.
Remember our mission: 1) have fun and 2) raise funds to help our fellow veterans struggling with depression and PTSD.
HOW MANY PEOPLE CAN DRIVE AT THE EVENT?
We are limiting the field to 80 drivers to make sure everyone gets plenty of runs on the course. The afternoon session is a reverse of the morning course.
We expect each driver will run each direction 5-6 times.
Please note that this is a time trial format. While there will be 40 cars in each heat, each car will run the course alone. This is not a door-to-door event.
WHAT IF THERE IS BAD WEATHER?
This is a “rain or shine, hot or cold” event. We will only postpone for a significant system like a hurricane and your entry will automatically apply to the rescheduled date while still being subject to the normal cancellation policy.
Note: In the case of thunderstorms, we will pause to get corner workers out of possible lightning strike areas and resume once they have passed.
We can’t control the weather so please be prepared for wet or dry and hot or cold conditions! BTW, we had light rain at the 2021 event and everyone loved it.
Just like being in the field on maneuvers, right? Hooah!
CAN WE CAMP THE NIGHT BEFORE?
Camping/RV parking may be available but there is no guarantee.
Gates typically open by 6:45 am and close by 6:45 pm. There are over 20 lodging options within 2 to 18 miles from the track.
We are committed to Summit Point and our event management team for track rental and all support costs so this needs to be an “All sales final ” event.
That said, you can transfer your entry to another person but they and their vehicle must meet all requirements and pass technical inspection.
If you are having car problems, your best option is to bring a different car or be a co-driver with a car in a different heat.
If you find you cannot attend for any other reason, your best option is to sell or give the spot to someone else qualified to participate, then let us know whose name to put on it by 72 hours prior.
WHAT IF I NEED TO CANCEL?
The Shenandoah Circuit has a number of good viewing areas for spectators.
COVID-19 permitting, we encourage you to bring family and friends to be part of the event. Event entry is free for guests and crew. The only requirement is they all sign the waiver at the front gate on the way in and get a wristband.
Drivers are responsible for the location and behavior of their guests/crew at all times. Children must not be left unattended and pets must be leashed and cleaned up after.
CAN I BRING MY FAMILY?
WHAT IS THE SCHEDULE/FORMAT?
We will divide all entries into two heats of 35-40 cars each based on class and driver experience.
Each heat will run once in the morning and once in the afternoon with a lunch break in between.
Each heat averages about 90-120 minutes long.
Depending on the number of entries and weather and track conditions, you can expect a total of 8 – 10 runs during the day.
We will use a section of the Jefferson Circuit for both the morning and afternoon sessions.
The afternoon session will be run in the reverse section.
ARE CHILDREN ALLOWED?
Sorry, your child may only participate when they are legally an adult. All drivers and passengers must be age 18+. All drivers must have a current US-state-issued drivers license to participate, for safety and liability reasons.
HOW MANY RUNS DO WE GET ON THE TRACK?
The number of runs depends on a number of variables, including the number of cars in each heat, weather and track conditions, and the number of problems/cleanups encountered.
There is a drive-through run before each heat and your first run in each heat is a warmup and does not count toward Class results.
After that, you should expect three to five runs, possibly more if things are running smoothly.
So for your day spent away from home you can expect at least 8-12 runs, some great video if you have a GoPro, and some fantastic camaraderie. And, just maybe, a Class or the overall Trophy.
CAN MY FAMILY JOIN ME?
Registered drivers may bring guests and/or crew for no additional cost as long as they all sign the waiver at the front gate on the way in and get a wristband.
Drivers are responsible for the location and behavior of their guests/crew at all times. Children must not be left unattended and pets must be leashed and cleaned up after.
Unfortunately, no.
Because the paddocks often are in use with other events, trailer or car dropoffs are NOT allowed the day/night before these events.
Gates typically open by 6:45 am on the listed event day.
ARE TRAILERS ALLOWED?
In the rare case the event needs to be canceled or postponed ss postponement for some significant issue, typically everything is simply moved forward to a new date.
So, if you registered for the postponed event you are automatically registered for the rescheduled event as well, and all else is the same.
In the very rare case of an outright cancellation for some major problem, typically full entry credits are issued or replacement signups are handled privately.
In either case, registered drivers are notified ASAP via email so please make sure your profile/address is current.
WHAT IF THE EVENT IS POSTPONED?
This isn’t an autocross event. We have hired dedicated staff to manage the event and we have a great team of volunteers to fill in the gaps. Want to volunteer? We would love to have you on the team.
Your only requirement is to come, drive, have fun, perhaps win a class medal, and help your Service win the 2022 Top Dog trophy for your Service. And, or course, raise money to help our fellow veterans beat their PTSD.
